What is event transportation in Toronto, and how do I book it?

Event transportation is chauffeured ground travel organised around a conference, convention, festival or corporate programme: airport pickups, hotel-to-venue runs and evening transfers. Book each vehicle in the online booker; the exact all-in fare appears before you confirm.

Event transportation in Toronto is different from a single airport ride because the problem is a crowd, not a person. Forty delegates may land within three hours on eleven different flights. A keynote speaker needs to reach the stage with ten minutes to spare. A client dinner ends at 10 pm and six couples want to go six different ways. The work is mostly scheduling, and the cars are the visible end of it.

We handle that scheduling through our Toronto dispatch, which runs 24/7. Each trip is booked through the online booker with its own address, time and vehicle class, and the fixed fare is quoted before you pay. For larger programmes, the useful habit is to book the fixed points first, such as speakers, executives and anyone arriving on a tight connection, and then build the flexible movements around them.

If your organisation books ground transport regularly, the corporate car service page covers the day-to-day business side, and the Toronto car service page covers single rides in a black car. This page is about the larger shape of a programme.

Which vehicles suit which part of an event?

Not every movement needs the same car. Matching vehicle to job is the single largest efficiency in an event plan.

  • Executive Sedan: up to 3 passengers, 2 large and 2 carry-on bags. Speakers, board members and anyone who needs a quiet ride and a straight line to the door.
  • Luxury SUV: up to 6 passengers, with 5 to 6 large bags. Small teams, executives with gear, exhibitors carrying display cases.
  • Executive Sprinter: 12 to 14 passengers and 12 or more bags. Delegations, a product team, a film crew or a wedding-sized group, as covered on the Sprinter van service page.
  • Stretch Limousine (8 to 10 passengers, hourly) and Mini-coach or party bus (20 to 30 passengers, hourly): for gala evenings, incentive trips and group outings. Availability and the exact vehicle are confirmed at booking, so ask early. See the stretch limo and party bus Toronto pages.

For a programme with mixed needs, a common pattern is a handful of sedans for principals, an SUV or two for teams with equipment, and a Sprinter or hourly coach for the group movements on a fixed loop.

Which Toronto event venues do we serve, and how far are they from Pearson?

Most Toronto conferences cluster in three places. The distances below are approximate road distances, and the times are what we plan for in ordinary traffic, not guarantees.

VenueAreaFrom Pearson Terminal 1Notes
Metro Toronto Convention Centre, 255 Front Street WestDowntown coreAbout 30 km, usually 30 to 50 minutesNorth and South Buildings
Exhibition Place, 100 Princes' BoulevardLakeshore, west of downtownAbout 28 km, usually 30 to 50 minutesEnercare Centre and other halls
The International Centre, 6900 Airport RoadMississauga, near PearsonAbout 13 km, usually 15 to 25 minutesLarge exhibition halls near the airport

The Metro Toronto Convention Centre describes itself as 25 minutes to the airport and links to indoor public transit and an air-rail connection to Pearson. That is the train route, and we come back to it below. Exhibition Place lists the Enercare Centre as Canada's largest exhibition hall, alongside the Automotive Building, the Better Living Centre and the Queen Elizabeth Building. The International Centre in Mississauga advertises over 500,000 square feet of flexible exhibition space and sits minutes from Toronto Pearson. Venue names have changed in Toronto over the years, so use the venue's own website for the current name of each hall.

How long does it take between the main venues?

Trips between event sites are short on the map and slow at the wrong hour. From the Metro Toronto Convention Centre to Exhibition Place is about 2.5 km, which can take as little as 6 minutes in light traffic and noticeably longer when the Gardiner is heavy or a ballgame or concert is letting out at the stadium next door. The Metro Toronto Convention Centre to the TIFF Lightbox on King Street West is only about 0.6 km, and Roy Thomson Hall on Simcoe Street is around 0.4 km away. Those are walkable, but a chauffeur is still useful when it is raining, a speaker is carrying equipment or a guest has a mobility need.

From the downtown core to the International Centre in Mississauga is about 29 km, usually 30 to 50 minutes. That is a full journey rather than a hop, which is why events split between the two sites usually run a scheduled loop rather than call cars one by one.

How does airport arrival work for a large group?

Arrivals are the pressure point of any conference. Delegates do not land together, and half of them will be on the same two morning flights. Our approach for a group:

  1. Collect a manifest early: name, flight number, destination hotel and mobile number for each arriving guest.
  2. Book each pickup as its own trip with the flight number, because flight tracking is on every airport pickup and the pickup time moves with the actual landing.
  3. Use the included waiting time: 60 minutes free after landing on international arrivals and 30 minutes on domestic ones, measured from landing.
  4. Add a name-board meet-and-greet for principals and first-time visitors. The chauffeur waits inside arrivals with a board. It is an add-on requested at booking.
  5. For clusters of arrivals, assign a Sprinter and release it when it is full or when the waiting window ends, rather than leaving guests to queue.

The Pearson airport limo page covers terminals and pickup logistics, and the airport limo Toronto guide compares Pearson with the other airports, which matters when delegates fly into Billy Bishop or drive from Buffalo. The Billy Bishop airport page explains the island airport.

Should delegates take the train, a rideshare or a chauffeur?

An honest plan mixes modes. The UP Express train between Pearson and Union Station takes about 28 minutes, according to UP Express, and stops at Weston, Mount Dennis and Bloor on the way. For a single delegate with one bag on a quiet afternoon it is hard to beat.

Chauffeured Sprinter or coachRoughly 30 to 50 minutes by roadFixed fare via bookerDelegations arriving together

The decision is usually about risk, not comfort. A chauffeur waits at the arrival door and tracks the flight, so a late plane does not strand a speaker. The train is faster in rush hour and costs less, and for a flexible traveller it is the better choice. See limo vs rideshare for the longer comparison.

How do hotel-to-venue shuttles work?

A shuttle loop is the backbone of a convention. The idea is to repeat a fixed route with a fixed schedule so that attendees do not wait for a car to be dispatched. A few practical rules:

  • Run the loop only at the times attendees need it: before the morning keynote, after the evening reception and at lunch if the venue is a long walk away.
  • Place the pickup on the hotel's own forecourt or at the venue's marked loading area so that the chauffeur does not have to guess.
  • Choose the vehicle by the headcount at peak, not the average. A Sprinter seats 12 to 14, and an hourly mini-coach seats 20 to 30, with availability and the exact vehicle confirmed at booking.
  • Give attendees a single contact route for changes, so that dispatch is not fielding fifty separate calls.

The same pattern works for exhibitor load-in days, where the shuttle moves staff between hotel and hall before the doors open.

What about film festivals and red-carpet evenings?

Film-festival weeks put unusual pressure on the same few streets. Venues such as the TIFF Lightbox at 350 King Street West sit within a short walk of each other in the downtown core, and cars cannot always stop where a guest wants them to. The main points to plan:

Black leather rear seats of a luxury car
Black leather rear seats of a luxury car
  • Agree a pickup point in advance rather than relying on the nearest door. Streets close or narrow around major venues.
  • Allow extra time between evening events, since a 600 m journey that takes 2 minutes in light traffic can take far longer when guests are arriving at the same moment.
  • Keep a vehicle on an hourly booking for talent or executives who move between several venues in one evening. That is more efficient than a series of point-to-point rides.
  • Ask for the vehicle class that matches the occasion. A black Executive Sedan is discreet; a Luxury SUV carries a team with wardrobe.

The same logic applies to the concert and sports limo bookings around the downtown arena and stadium, where pickup after the event is the hard part.

How do I plan staging and pickup points?

Staging is the part of event transportation that organisers underestimate. Before the day, agree these points with the venue:

  • Where vehicles may wait, and for how long.
  • Which door each class of guest uses: principals, general delegates, accessibility needs.
  • Where luggage is held between check-out and a late departure.
  • Who at the venue speaks to dispatch if a plan changes.

Then share the plan with your delegates in a single message with a clear pickup description, ideally a door name and a landmark. A chauffeur holding a name board at a marked point is faster than a car circling a block.

What can dispatch do on the day?

Our dispatch is staffed around the clock. For an event, that means:

  • Flight tracking on every airport pickup, so arrival times adjust without a call.
  • A single place to report changes, from a late speaker to an extra guest.
  • The ability to reassign a vehicle if a delegate cancels or a group grows.
  • Support for evening and early-morning movements that sit outside business hours.

Keep the booking record clean. Each trip should carry the guest's name, the flight number and mobile number, and any luggage or accessibility notes. Where a guest travels with a child, a seat can be requested at booking, as explained on the car seat limo page.

Do you serve events outside Toronto?

Yes. Conferences in the wider region follow the same logic with longer distances. Mississauga events near Pearson are covered on the Mississauga limo service page, and the wider region on the GTA hub. Delegates travelling between cities can use the corridor routes: Toronto to Ottawa is about 450 km, usually 4.5 to 5 hours, and Toronto to Montréal is about 541 km, usually 5.5 to 6.5 hours, on the Toronto to Montréal route. Service in Québec is available in English and French.

What does a good event plan look like?

A straightforward template for a three-day conference:

  1. Two weeks out: list principals, arrival flights and departure flights. Book the fixed trips.
  2. One week out: finalise the delegate manifest and circulate pickup instructions.
  3. Day before: confirm the shuttle schedule and venue staging points.
  4. Day one: monitor flight tracking and adjust the shuttle for late arrivals.
  5. Final evening: book departures with the same care as arrivals, since the airport run on the last morning is when people are most likely to be late.

This is a framework, not a promise of any particular lead time. Vehicle availability, especially for hourly vehicles, depends on the date, and the best protection is to book as soon as the programme is firm.

What happens if the programme changes?

Changes are normal. The standard cancellation terms apply to each booking: more than 72 hours' notice is no charge; 72 hours or less, 10%; 48 hours or less, 50%; 24 hours or less or a no-show, 100%, measured from the scheduled pickup time. Moving a time or a vehicle is simpler than cancelling and rebooking, so tell dispatch as soon as you know.

Alcohol is a separate subject. Rules follow Ontario and Québec law and are confirmed at booking, and we do not promise drinks on board. If your event includes a reception, plan the transport as a safe way home rather than as part of the bar.

Can you move a whole conference delegation?

Yes. Combine sedans and SUVs for principals with a Sprinter (12 to 14 passengers) or an hourly mini-coach (20 to 30 passengers) for group loops. Availability and the exact coach are confirmed at booking, so reserve early.

Do you track flights for delegates?

Yes. Flight tracking is on every airport pickup. Waiting time after landing is 60 minutes free on international arrivals and 30 minutes on domestic ones.

Can a chauffeur meet delegates inside arrivals?

A name-board meet-and-greet inside arrivals is available as an add-on, requested at booking. It suits speakers, executives and first-time visitors.

How far is the Exhibition Place from downtown?

Can I get a price per delegate?

This site does not publish prices. Each trip is booked in the online booker, which shows the exact all-in fare for the address and vehicle before you pay. Quoting each trip separately lets you compare vehicle classes for each part of the programme.

Can you provide drinks on board for a reception?

We never promise drinks on board. Alcohol rules follow Ontario and Québec law and are confirmed at booking. Plan the vehicle as the safe ride home from a reception.

What is your cancellation policy for event bookings?

More than 72 hours' notice is no charge. At 72 hours or less it is 10%, at 48 hours or less 50%, and at 24 hours or less or a no-show 100%, measured from the scheduled pickup time.
